If it conflicts with the Danish [privatlivspolitik](https://robinsonlistenapi.dk/juridisk/privatlivspolitik), the Danish version prevails.* ## Lists our customers check When a business checks its lists with Robinsontjek, that business is the controller of the list and we are its processor, as set out in the data processing agreement the customer accepts when signing up. If you're on a list a business checked with us and have questions, contact that business. If you write to us, we'll forward your request to them. The rest of this page covers data we control ourselves. ## What we process and why ### Customers and users - **Data:** name, email, phone number, job title, company, company registration number, billing details, sign-in history and your correspondence with us. - **Purpose:** to set up and run your account, provide the service, invoice, give support and send important service messages. - **Legal basis:** performance of the contract with the business you represent, and our legitimate interest in communicating with our customers' staff (GDPR Art. 6(1)(b) and (f)). The Danish Bookkeeping Act for accounting records (Art. 6(1)(c)). - **Retention:** for the duration of the customer relationship and 3 years after. Accounting records for 5 years after the end of the financial year. ### Chat and enquiries - **Data:** what you write, your email if you give it, and the page you wrote from. - **Purpose:** to answer you. - **Legal basis:** our legitimate interest in answering enquiries (Art. 6(1)(f)). - **Retention:** up to 2 years after last contact. ### Website visitors - **Data:** technical data such as IP address, browser and pages visited, how you use the website and app, and campaign details from the link you arrived through (`utm_*`, `gclid` and `li_fat_id`). - **Tools:** Google Analytics 4 and Google Ads, LinkedIn Insight Tag and PostHog (with data in the EU). - **Purpose:** to run and protect the website, measure visits, and see which ads and campaigns bring us customers. We keep the campaign details in your browser's local storage and send them along when you write to us or create an account. - **Legal basis:** our legitimate interest in running and protecting the website and in knowing which marketing works (Art. 6(1)(f)). - **Retention:** technical logs for up to 30 days. How long each tool keeps data, and how to turn measurement off, is in the [cookie policy](https://robinsonlistenapi.dk/en/legal/cookies). ### Businesses we contact - **Data:** company name, registration number, industry and contact details, and name and role of relevant contacts, taken from public sources such as the Danish CVR register and company websites. - **Purpose:** to contact businesses that may need Robinsontjek. - **Legal basis:** our legitimate interest in marketing the service to businesses (Art. 6(1)(f)). We don't contact companies with advertising protection in CVR, and we always respect a no. - **Retention:** up to 2 years after last contact. If you opt out, we keep only what's needed to make sure we don't contact you again. ## Who we share data with We never sell personal data. We share it only with: - **Suppliers** that help run the service: hosting, storage, email and payments. They act only on our instructions. - **Measurement and ad tools** on the website and in the app: Google (Analytics and Ads), LinkedIn and PostHog. Transfers outside the EU happen only on a valid basis, typically the EU-US Data Privacy Framework or the European Commission's standard contractual clauses. ## Your rights You have the right to: - **access** the data we hold about you, - have inaccurate data **corrected**, - have data **erased** when we no longer need it, - **restrict** processing, - **data portability** for data you gave us, - **object** to processing based on our legitimate interest, and always to direct marketing, - **withdraw consent** at any time, without affecting earlier processing. We reply within one month. ## Complaints You can complain to the Danish Data Protection Agency (Datatilsynet), Carl Jacobsens Vej 35, 2500 Valby, Denmark, [datatilsynet.dk](https://www.datatilsynet.dk), or to the authority in your own EU country. We'd appreciate hearing from you first so we can try to resolve it. ## Changes We update this policy when our processing changes. The date at the top shows when it last changed.
